When starting up with MiBaseNZ, toy libraries are entitled to a customised bag label. Each toy library is different in what they would like to see on their bag labels. They can vary in size, have a barcode or not, may include warnings or alerts, have a toy description…whatever you would like to appear on your bag label is up to you.

MiBaseNZ already provides a large selection of bag labels however if none of these suits your toy library, you can simply request your own.

All you need to do is create a template or a mock example of what you would like on your bag label,  Open a Ticket, attach the example to the ticket and we can create it for you. It doesn’t matter how you create the template, whether you just draw it or do an example in Word. The different size options are A4, A5 and A6 if you need a particular size.

To view the selection of bag labels simply go to any toy detail page. To the far right, you will see the following,

Click on the dropdown menu and choose from the extensive list. Once you have selected the label, click the green Open BagLabel on pdf.

Every toy within MiBaseNZ has its very own Toy Details page. Once a new toy has been added, and the information has been filled in on the Edit a toy page, it can all be viewed here. This is also where, at any time you need to, you can print off a bag label, add missing or broken parts for the toy and see the toy’s history.

The Toy Details page can be accessed from a number of pages within MiBaseNZ. These include the Stocktake page, Toy Alerts list, and the Toys List page.

For this article, we will be accessing it through the Toys List in the second menu. From there click on the yellow View button alongside the toy you would like to see.

There is a lot of information on this page. We will break it down in sections and explain it in more detail below.

Toy Name

Toy id and name

At the top of the page, the toy id and toy name will appear.
If this isn’t the toy you were wanting to view, you can type in the name of the toy you were after in the Search Toy field and select from the dropdown menu.
If this is the toy and you would like to edit any details, click the blue Edit Toy button to the right.
Underneath the toy name, there are three columns of information.

Toy Information

The first column on the left lists all the information that has been saved in the Edit a toy page.
Note: some headings will only appear if information has been added.
The three sections outlined in red you will not see in the Edit a toy page.

  • On Loan to: this toy is currently out on loan. You can also see the Due Date and Loan Date which is the start date of the loan. Clicking the blue member id number will take you to the Member’s Detail page.
    If the toy was in the library, this information would not appear
  • Days on Loan in the last year: this is the total days the toy was out on loan
  • Changed by User: this automatically updates listing the username of the last admin who made changes to this toy
  • Last Updated: this also automatically updates with the date and time of the last change made to this toy

Description & Contents List

The second column shows the description of the toy and list of pieces for that toy. This information is added in the Edit a Toy page. Follow this link for further information regarding this.

Bag Label & More Info

The third column is where you can select a bag label to print for this toy.
Click on the dropdown menu and choose from the large selection of bag labels. Once you have selected click the green Open BagLabel on pdf.
If there is a bag label you would like to create or amend one in the list for your library, you can Open a Ticket and we will add it for you. For further information on this read this article, Customised Bag Labels.

Underneath the bag label is the toy image. You can either delete the image or change it. Follow this link on Uploading Images for further information.

Underneath this, you can see a number of comment or alert boxes. These will only appear if the information has been added in the Edit a toy page.

Missing Parts

Continuing down the page underneath all the information is the Missing Parts section. This is where you can add pieces of the toy that are missing, broken, replaced etc. Follow this link on Missing parts for further information on how to do this.

Toy History

Every time the toy is loaned out, it will be recorded in this table. It will list up to 10 toy loans.

To view any more than that you will need to click the blue All History button. This will take you to the toy’s history page where you can see the full list of previous loans.
To the top right of the page, you will see

  • Total: the number of loans for this toy
  • Total Days out: total number of days the toy was out on loan

Although it doesn’t quite look like it, both tables contain the same information. The second table just shows the toy’s name which is not necessary for the first table.

MiBaseNZ’s Report page provides toy libraries with a rather large selection of reports to choose from. Each of these reports is compiled from your toy library’s data which is why it is important your data is accurate. These reports are also very specific and will help you gauge the overall performance of your toy library.

There are two types of reports; daily reports or reports by date range.
If there is not a report there for the information you would like to obtain about your library, you can request one be made by Opening a Ticket and under the heading Category select ‘Reports request’.

There is also an option on this page to print bag labels in bulk which can be selected by the toy category.

To access the Report page, click on the green Report button in the top menu.

Every report downloaded will automatically have included in the header the toy library logo, address and contact details as well as the day’s date and the time the report was accessed.

 

Reports

These are daily reports based on the information for that day. They can be categorised under 3 different types of reports; members, payments, and toys.

The report name usually is enough to understand what the report is about however if you need further clarification, scroll down to the heading Report List where you will see each report listed with a description as well as an image of an example template.

You can also choose the page orientation for how the report is downloaded, portrait or landscape format.

To access a report, select from the dropdown menu, select page orientation and click Open Report.

Reports with a Date Range

These reports are by date range. You can choose a certain week, month or year.
Some reports are rather large so they may struggle to download and an error message may appear. If this is the case, Open a Ticket and we can do it directly from the database.

There is no page orientation for these reports, they will download in portrait format.

These reports are also categorised by types however there is more of a selection than the daily reports. The three main categories are the same as above; members, payments, and toys and the remaining one-off reports are for accounting, debits, reservations and roster.

The report name usually is enough to understand what the report is about however if you need further clarification, scroll down to the heading Report List where you will see each report listed with a description as well as an image of an example template.

To access a report, select from the dropdown menu, select Start and End Dates and click Open Report.

Bag Labels for all toys

This was requested by libraries who were wanting to print a bulk set of bag labels for each toy category. Previously, you could only print off bag labels individually by going into each toy’s detail page.

To bulk print bag labels, select the Bag Label Type from the dropdown menu, select the Toy Category you want to be printed and click Open Bag Label.

If you have a specific bag label you use for your library and it is not on the list, you can Open a Ticket and we will add it for you.

Report List

This is a list of all the reports in the dropdown menus with a description and an example of what the report looks like.

Description of the reports

  • Report Name
  • Description: what you will see in the report
  • Type of report: whether its for Members, Toys, Payments, Children, etc.
  • Category: Yes if the report is grouped into different categories, No if it is just one list
  • Date Range: Yes if  it can be downloaded by date range, No if it is a daily report
  • Group by: if the  Category is Yes, then the type of category is written here
  • Example: click the image for an enlarged example of what the report looks like

This list is still being updated so not all reports are there, yet.
