When starting to use MiBaseNZ, setting up the Toy Categories page and the different types of categories are important for your toy library for a number of reasons. Firstly, everything within MiBaseNZ is linked to toy categories making it the very first step when adding a new toy. It makes viewing toys easier for admin and members, it allows you to see how many of these toys you have in your library.

This page must be completed before you start adding new toys to your library.
To Add a new toy category, follow this link to the article on how to do so.

Otherwise, to check all your toy categories, go to Toy -> Toy Categories.

Then check all the information on the list.

Column description

  • ID: it is automatically generated from the system and is a sequential number
  • Category: this is a simple abbreviation of the toy category description. It will appear on all websites so make sure it aligns with the toy, minimum 1 character and a maximum of 3.
  • Description: explains the type of toy. It appears in the Toys dropdown menus on both Public and Member websites
  • NumTotToy: total number of toys in this category including active and not active toys
  • NumActive Toy: total number of active toys
  • Rent: it’s important to add rent only if you need to update the rent of all toys in the category. This field will automatically have $0 when a new category is added and the rent for the toy can be selected individually when Adding a New Toy.
  • LoanPeriod: this is linked with the loan period you have set up for each membership. You can decide whether it continues as Normal or if you would like a category’s loan period to be Half of what is set up in the membership.
  • Public?: If you would like this category visible on the Public and Member Website, select yes, no if you don’t. If a category has no toy in it yet, it will be better to choose No.
  • PartyPack: if your toy library is using the Party Pack module you can choose to have a particular category appear in the Party Pack by selecting yes or no
  • Update: this button, when clicked, will update all your toys in that category to have the same rent. To set the rent value, go to Editing a Toy Category to see how
  • Blue Edit button: clicking this button will allow you to edit the toy category. Follow this link Editing a Toy Category to see how
  • Orange Delete button: clicking this button will delete the toy category as long as there are no toys within that category. If there are, these toys will need to be moved to another category before deleting. Follow this link Deleting Toy Categories to see how

If your toy library has a rather long list of toy categories, you should probably look at using sub-categories as well. Having too long a list makes it harder for viewing on both the Member and Public Websites, particularly when viewing on a mobile phone.

As outlined in The importance of toy categories article, MiBaseNZ’s toy category setup must be completed before adding in your toys and acquiring new ones.

To start adding in your different types of toy categories, go to Toy -> Toy Categories.

Then click the blue Add New button at the top right of the page.
Fill in or select from the dropdown menus.

Adding a new toy category

  • Category Code: No more than three characters. Make sure it aligns with the description, for example, Active Play = AP
  • Category Description: must be specific to the toys
  • Party Pack: you can choose which category you would like included in the Party Pack if your toy library is using this module
  • Loan Period: Would you like this category to be the same as what is selected for each membership type (Normal) or would you like this category to be Half that loan period?
  • Public?: Would you like this category visible in the Public and Member Website, yes or no? If you have just created a category and you have no toys added yet, it will be better to choose No.

Once you have added in all the fields click Save.

You will see the Success message appear underneath. An Error message may appear if there is a problem.

Clicking OK will take you back to the Toy Category List page.

Once you have created the toy category, to add its rent value, you will need to edit it by clicking the blue Edit button alongside it. For further information, go to Editing a toy category.

If you would like to delete a toy category just added, it is as simple as clicking the orange Delete button alongside it however if there are toys already listed in the category you will need to move these toys before deleting. To see how, go to Deleting a toy category.

Once you have created the toy category and realised you have made a mistake or you have simply changed your mind, you can easily edit it.

Or, if you would like to set the rent value so all the toys within that category can be the same it can also be done here.

Editing or updating the toy category

To edit or update a toy category click on the blue Edit button alongside the category.

Note: you cannot change the Category (the abbreviation of the description). If you have made a mistake, you will need to delete the category and start again.

Make the changes. You can add the rent value by choosing from the dropdown menu.

Click Save.

You will see the Success message appear underneath. An Error message may appear if there is a problem.

Clicking OK will take you back to the Toy Category List page.

If you are making mistakes in the Rent or other field you will see an error message like this:

Updating all toys with the same rent value

Now that you have added the rent value for a specific toy category, for all the toys in that toy category to have the same rent, click the purple Update all toys button alongside the category.

This red box will appear on the page. Clicking OK will update the rent for all the toys in this category.
Click Close if you no longer want to continue with this action.

If you would like to delete a toy category that you have just added, it is as simple as clicking the orange Delete button alongside it.

However, if there are toys listed in the category you will need to move these toys before deleting. MiBaseNZ will not allow this category to be deleted until the toys have been moved. This Error box will appear.

If the toys are Active, they will need to be moved to a different toy category.
If the toys are Not Active, they will need to be moved to the NOT: ALL INACTIVE toys category.

Each toy will need to individually be changed. If there are a large number of toys, you can Open a ticket and ask for help.

To change the toy category, click Toys List in the second menu. Type in the table header Cat the toy category of the toys you need to change.

Click the blue Edit button alongside the toy.
In the dropdown menu Category, select which category you would like to move the toy to.

Click Save Toy.

Once all toys have been changed, you will need to return to the Toys Categories page where you will see in the list the Number of Toys in both columns will be 0. See the below example:

You can now click the orange Delete button to remove the toy category and you will see the green Success message at the top of the page.

If your toy library has a rather long list of toy categories, then you should start thinking about adding Sub-Categories.

Sub-Categories reduce clutter on your websites, which prevents people from being overwhelmed by a long list of choices. Having too long a list also makes it harder for viewing particularly if a person is using their mobile phone.

To create a sub-category, go to Toy -> Sub Categories

You will see a list of toy sub-categories if any.

To remove a sub-category, simply click the orange Delete button alongside it.
To edit a sub-category, simply click the blue Edit button alongside it.
Note: you cannot change the SubCategory (the abbreviation of the description). If you have made a mistake, you will need to delete the category and start again.

To add a new toy sub-category use the form on top of the page.

  • Sub-Category: No more than three characters. Make sure it aligns with the description, for example, DUP=Duplo, so it is easy to understand.
  • Category Description: must be specific to the toys

Once you have added in the fields click Save.

You will see the Success message appear underneath. An Error message may appear if there is a problem.

To select the sub-category for a toy you will need to go to the toy’s editing page, Read this article Editing a Toy for further information.

Note: sub-categories can be used in more than one category
For example:
Puzzles – Magnetic
Construction – Magnetic

 

When members view toys in the Toy List on the Member Website, they will see at the top of the page the sub-category dropdown menu.

Once they have selected the category and sub-category, click Submit. A list of their choices will appear.
To see the full list again, click Reset.
