										<content:encoded><![CDATA[<p>There have been some issues with <strong>MiBaseNZ</strong>&#8216;s emails going to members&#8217; spam and junk folders causing many members to miss important information and reminders. We have decided to change to a new email system called <strong>SMTP2GO</strong>. With this system, toy libraries can now monitor their emails and see which emails have been sent, opened, rejected, or bounced.</p>
<p><em><strong>Note: Your account has been set up specifically for your toy library. Please DO NOT change the Settings in particular the SMTP Users. Doing so will break the connection between MiBaseNZ and SMTP2GO. Any queries please <a href="https://mibasenz.on.spiceworks.com/portal/registrations" data-wpel-link="external" target="_blank" rel="follow external noopener noreferrer">Open a Ticket</a>.</strong></em></p>
<p>You will be sent an invitation email. Click the link <strong>Join your team</strong>.</p>

Enter your email (the one the invitation email was sent to) and the password that you set.</p>

The <strong>Dashboard </strong>will give you an overview of your emails. How many have been sent, how many have gone to spam or have bounced, how many have been opened and how many have had the links clicked within the email.</p>

<p>Under the heading <strong>Dashboard</strong>, you will see <strong>Reports</strong>. Click the arrow to see the list of reports. The first two reports are the only two you really need to use.<br />
<strong>Summary &#8211; </strong>this page will give you a summary of the emails sent and if you would like to see, a breakdown of each of the emails.<br />
To the right of the table are 3 vertical lines, the search filter. Click this and select which columns you would like to see displayed. It is best to click all to get the full range of information. There is also an <strong>Export</strong> button if you would like a printout of the information.</p>

<p><strong>Activity &#8211;</strong> this page is similar to the Activity Log in <strong>MiBaseNZ</strong> in that it lists all emails sent with the most recently sent emails at the top. To the right of the table are the 3 vertical lines. Select which columns or search results you would like to see displayed.</p>

<p>The colour-coded <strong>Event</strong> types can be further explained in the <strong>Filters</strong> dropdown menu which includes:</p>
<ul>
<li><strong>Processed:</strong> our servers have received your email and have queued it in our system for delivery to your recipient</li>
<li><strong>Soft Bounce</strong>: a temporary issue that may potentially self-resolve for future emails sent to that address, e.g. ‘mailbox full’ or ‘email content detected as spam’</li>
<li><strong>Hard Bounce</strong>: a permanent rejection, e.g. an invalid email address <em>(see below)</em></li>
<li><strong>Rejected</strong>: a rejected email caused by the recipient&#8217;s previous hard-bounce, spam complaint, or unsubscribe</li>
<li><strong>Spam</strong>: the recipient has flagged an email as spam from their web-based email system’s inbox</li>
<li><strong>Delivered</strong>: the email was successfully delivered to the recipient</li>
<li><strong>Unsubscribed</strong>: the recipient has clicked your unsubscribe link</li>
<li><strong>Resubscribed</strong>: a previously unsubscribed recipient has decided to resubscribe to your emails</li>
<li><strong>Opened</strong>: the email has been opened by the recipient</li>
<li><strong>Clicked:</strong> the recipient has clicked/opened a link in the email</li>
</ul>
<p>If an email has hard or soft-bounced, hover the cursor over the event tag to get a quick tooltip showing the bounce reason.<br />
You can also click on any recipient’s email address to pull up the in-depth delivery details menu, which includes a <strong>Timeline </strong>tab (all events in chronological order), a <strong>Headers</strong> tab (the email’s original headers), and a <strong>Details</strong> tab (the outbound IP address, SMTP username, time, date, and more).</p>
<h3>How to fix Hard Bounces</h3>
<p>SMTP2GO categorizes bounced emails as either &#8216;Soft&#8217; or &#8216;Hard&#8217; by analyzing the error message that is sent to us by the recipient&#8217;s mail server. A hard bounce occurs when there is a permanent issue or there is no chance that the email address will work in the future. Common causes for hard bounces can be due to a recipient&#8217;s address being invalid or not existing, authentication issues (SPF/DKIM/DMARC), or due to spam filtering or reputation issues.</p>
<h4>What happens when a Hard Bounce occurs?</h4>
<p>Our system automatically blocks (for 7 days) any attempt to send to an email address that has hard bounced. This is an important policy: if we continually tried to send emails to hard bouncing email addresses, we would very quickly damage our reputation in the email community. After 7 days, the hard-bounced email address will be automatically unblocked and sending can resume. If there are still issues with the recipient&#8217;s email address, however, it will hard-bounce time and time again. You should, therefore, remove hard-bouncing email addresses from your mailing list.<br />
We record blocked attempts to send emails and call these rejected emails. Rejected emails are attempts to send emails to any email address that has hard-bounced within the past 7 days, has previously reported an email as spam, has previously unsubscribed, or has been manually added as a suppression. You should aim to have <em>zero</em> rejected emails.</p>
<h4>How do I resolve a Hard Bounce?</h4>
<p><strong>The recipient will need to resolve the hard bouncing issue from their side.</strong> You may need to contact them using alternative means, not via email of course, asking them for their correct email address. If you cannot contact your member/s in a different way, then remove the email from their account.</p>

										<content:encoded><![CDATA[<p><strong>MiBaseNZ </strong>has created a more secure and better encrypted password procedure for all administrators and volunteers using the MiBaseNZ system ensuring better protection and security of all private information and sensitive data we have stored on ourselves and our members.</p>
<p>There are some minor changes to the admin login page. The <strong>Home</strong> button has been removed and a <strong>Forgot Password? </strong>button has been added.</p>

Even if you are familiar with the process, please read the article again as there are some important points for you to read around usernames, passwords, and emails and ensuring they are unique. In other words, no admin or volunteer can have the same username, password and most importantly email.</p>

										<content:encoded><![CDATA[<p>These functions have been created in light of the latest Covid-19 lockdown.<br />
It allows you, the admin, to extend the due date of all the toys currently on loan, active reservation dates, and membership expiry dates for both active and expired members by a selected number of days without having to manually change the dates for each individual toy/member.</p>
<p>Depending on where your toy library is in NZ and when you will re-open will determine the number of days you would like to add.</p>
<p>Note: With toys on loan and reservations, this function does not allow you to select a certain date so all toys are due on the same day and all reservations can be picked up on the same day. It will just add the number of days your library is closed for to the dates. So if your toys have different due dates and reservation dates they will continue to have different due dates and reservation dates.</p>

<p>This module will allow toy libraries to hire specific toys from specific categories to non-members, or clients. Once the module is set up, the toy library can choose which toys and categories a client can hire.</p>

<h4>Click and Collect</h4>
<p>This module allows the admin and members of a toy library to be able to book a time and date to pick up and/or drop off toys that have been reserved.</p>

<p>This module allows admin, members and the public to be able to book a time to visit your toy library. This module is not linked with the Reservation System so toys do not need to be reserved to use it.<br />

<h4>Company as a Member</h4>
<p>This module will allow toy libraries to add a company such as childcare or a school to their list of members. This module will have its own page and Company List separate from your toy library’s Member List.</p>

<p>This module will help toy libraries manage their volunteer work in an easy and fast way. There are two sections to this module. The yellow section is free for all toy libraries. <h4>Gift Voucher</h4>

This email template can only be used and sent from <strong>Bulk Emails</strong>. It cannot be set up and sent as an <strong>Automatic Email</strong>.</p>
<p>The first important step is to create your email template.</p>
<p>Go to <strong>Setup -&gt; Email Template </strong>and click the <strong>Add New</strong> button at the top right of the page.</p>

										<content:encoded><![CDATA[<p><strong>MiBaseNZ </strong>has created the<strong> Activity Log </strong>page so you can see all the activities occurring in your system as well as seeing where any errors are coming from.</p>
<p>If multiple users log in to the system, then keeping an activity log will help you monitor all user activity. This means that all activities happening in your admin website by your admin and volunteers, all activities that your members will do in the Member Website and even the systems server activities will be recorded.</p>
<p>When an admin, or a volunteer or a member changes any data or deletes or adds any information, the log system will record these changes adding a separate row for each activity.</p>
<p>As you can imagine, a lot of data will be recorded on this page so if you have a need to see any activity for a particular day/week/month you can do a search by date range.</p>

<p>The most recent activities will be listed first.</p>
<h3>Column Description</h3>
<ul>
<li><strong>id: </strong>the number to identify/record the activity</li>
<li><strong>username: </strong>the person who has created the activity. For members, it will list their member ID number and sometimes the username. If it is the system when sending automatic emails, for example, the username will be Server</li>
<li><strong>Role:</strong> the role of the person creating the activity; admin, volunteer, member or root if it is the system/server</li>
<li><strong>Date: </strong>the date the activity occurred</li>
<li><strong>Time: </strong>the time the activity occurred</li>
<li><strong>Category: </strong>the type of activity that occurred</li>
<li><strong>Activity:</strong> a more detailed description of the category/activity</li>

<p>If you wish to view activities in a given period, select the <strong>Start Day </strong>and <strong>End Day </strong>from the dropdown calendars, and click <strong>S</strong><strong>earch</strong>. This is found in the grey box at the top of the page. Click <strong>Reset</strong> to refresh the page to see the current activities again.</p>
<p>You can also sort/filter this list by the headings listed. Click the arrows next to the heading you want to sort/filter the list by or type in the search boxes underneath the headings.</p>
<p>You can download this list to PDF and/or Excel by clicking the <strong>Export to PDF</strong> or <strong>Export to Excel</strong> buttons. This will export the <strong>full</strong> list. If you want to download a filtered list, either use the date range option mentioned above OR export to excel and sort or filter through there.</p>

										<content:encoded><![CDATA[<p><strong>MiBaseNZ </strong>provides a rather extensive list of email templates that your library can use to send to your members. <strong>MiBaseNZ </strong>has provided a general outline for each email template as well as including some general and some specific shortcodes.</p>
<p>Your library can change these templates however you like. All you need to do is select the email template, click <strong>Edit</strong>, make the changes, and click <strong>Save</strong>.</p>
<p>You also have the option of creating your very own email template however they can <strong>only be used</strong> in bulk emails.</p>

<h3>Add new email template</h3>
<p>To create your own email template simply click the blue <strong>Add New</strong> button to the top right of the page (see image below). <h3>List of email&#8217;s templates</h3>
<p>As you can see there is quite a selection of emails to choose from. <p>There are 4 different delivery types, they are:</p>

<li><strong>Auto:</strong> this stands for Automatic Emails which are emails, when set up correctly, are sent automatically</li>
<li><strong>Bulk Email: </strong>these are specific emails which can be sent to all or just a few of your active members by the Bulk email functionality</li>
<li><strong>Process: </strong>these emails, if activated, are sent to members after a function has been used</li>
<li><strong>Button: </strong>these emails are linked to a button within <strong>MiBaseNZ</strong> and when clicked will send the email, like email and loan receipts</li>

<p>As the description says, with these buttons you can either make all toys available to be reserved or not.<br />
<em>Note: this applies to both admin and members. So if you have selected toys not available to be reserved as you don&#8217;t want members to reserve them, admin cannot reserve them either.</em><br />

<p>This function is great if you would like to extend the due date of all the toys currently on loan, active reservation dates, and membership expiry dates for both active and expired members for a certain number of days without having to manually change the dates for each individual toy/member.</p>
