There have been some issues with MiBaseNZ‘s emails going to members’ spam and junk folders causing many members to miss important information and reminders. We have decided to change to a new email system called SMTP2GO. With this system, toy libraries can now monitor their emails and see which emails have been sent, opened, rejected, or bounced.

Note: Your account has been set up specifically for your toy library. Please DO NOT change the Settings in particular the SMTP Users. Doing so will break the connection between MiBaseNZ and SMTP2GO. Any queries please Open a Ticket.

You will be sent an invitation email. Click the link Join your team.

This will take you to the website where you will be asked to set your password.

Once this is done, if it doesn’t already take you to the login page, go to https://app.smtp2go.com/login/ and log in.
Enter your email (the one the invitation email was sent to) and the password that you set.

The Dashboard will give you an overview of your emails. How many have been sent, how many have gone to spam or have bounced, how many have been opened and how many have had the links clicked within the email.

Under the heading Dashboard, you will see Reports. Click the arrow to see the list of reports. The first two reports are the only two you really need to use.
Summary – this page will give you a summary of the emails sent and if you would like to see, a breakdown of each of the emails.
To the right of the table are 3 vertical lines, the search filter. Click this and select which columns you would like to see displayed. It is best to click all to get the full range of information. There is also an Export button if you would like a printout of the information.

Activity – this page is similar to the Activity Log in MiBaseNZ in that it lists all emails sent with the most recently sent emails at the top. To the right of the table are the 3 vertical lines. Select which columns or search results you would like to see displayed.

The colour-coded Event types can be further explained in the Filters dropdown menu which includes:

  • Processed: our servers have received your email and have queued it in our system for delivery to your recipient
  • Soft Bounce: a temporary issue that may potentially self-resolve for future emails sent to that address, e.g. ‘mailbox full’ or ‘email content detected as spam’
  • Hard Bounce: a permanent rejection, e.g. an invalid email address (see below)
  • Rejected: a rejected email caused by the recipient’s previous hard-bounce, spam complaint, or unsubscribe
  • Spam: the recipient has flagged an email as spam from their web-based email system’s inbox
  • Delivered: the email was successfully delivered to the recipient
  • Unsubscribed: the recipient has clicked your unsubscribe link
  • Resubscribed: a previously unsubscribed recipient has decided to resubscribe to your emails
  • Opened: the email has been opened by the recipient
  • Clicked: the recipient has clicked/opened a link in the email

If an email has hard or soft-bounced, hover the cursor over the event tag to get a quick tooltip showing the bounce reason.
You can also click on any recipient’s email address to pull up the in-depth delivery details menu, which includes a Timeline tab (all events in chronological order), a Headers tab (the email’s original headers), and a Details tab (the outbound IP address, SMTP username, time, date, and more).

How to fix Hard Bounces

SMTP2GO categorizes bounced emails as either ‘Soft’ or ‘Hard’ by analyzing the error message that is sent to us by the recipient’s mail server. A hard bounce occurs when there is a permanent issue or there is no chance that the email address will work in the future. Common causes for hard bounces can be due to a recipient’s address being invalid or not existing, authentication issues (SPF/DKIM/DMARC), or due to spam filtering or reputation issues.

What happens when a Hard Bounce occurs?

Our system automatically blocks (for 7 days) any attempt to send to an email address that has hard bounced. This is an important policy: if we continually tried to send emails to hard bouncing email addresses, we would very quickly damage our reputation in the email community. After 7 days, the hard-bounced email address will be automatically unblocked and sending can resume. If there are still issues with the recipient’s email address, however, it will hard-bounce time and time again. You should, therefore, remove hard-bouncing email addresses from your mailing list.
We record blocked attempts to send emails and call these rejected emails. Rejected emails are attempts to send emails to any email address that has hard-bounced within the past 7 days, has previously reported an email as spam, has previously unsubscribed, or has been manually added as a suppression. You should aim to have zero rejected emails.

How do I resolve a Hard Bounce?

The recipient will need to resolve the hard bouncing issue from their side. You may need to contact them using alternative means, not via email of course, asking them for their correct email address. If you cannot contact your member/s in a different way, then remove the email from their account.

Important
All Toy Libraries with SILVER and GOLD subscriptions will have 2000 emails to send each month, PLATINUM will have 5000 emails.

MiBaseNZ’s Weekly Stat page has been created to collate specific statistical information on your library on a weekly basis throughout the year. The system will record this information every Monday morning between 12:05 am – 7:00 am.

You can see in the list below the specific information that is being collated.
To give you an understanding of the figures under each heading, for ActiveMembers, ActiveKids, ExpiredMembers, ActiveToys, and ActiveCompanies, these totals are collated on the day. ActiveReservation, ReservationLoaned, ReservationDeleted, ToysLoaned, ToysReturned, and Income are collated over the previous week.

Weekly Stats list

The most recent week will be listed first.
If you wish to view certain weeks in a given period, select the Start Day and End Day from the dropdown calendars, and click Search. Click Reset to refresh the page.

  • Date: once the page is live, it will be the date of every Monday moving forward
  • Active Members: number of active members as of Monday morning
  • Active Kids: number of active kids as of Monday morning
  • Expired Members: number of expired members as of Monday morning
  • Active Toys: number of active toys meaning their status is Active and not, for example, Processing
  • Active Reservation: all current reservations from Monday morning
  • Reservation Loaned: all reservations loaned during the previous week
  • Reservation Deleted: all reservations deleted during the previous week
  • Active Companies: number of active companies as of Monday morning. This only applies to libraries that have the Company as a Member module otherwise the number will remain 0
  • Toys Loaned: all toys loaned during the previous week
  • Toys Returned: all toys returned during the previous week
  • Income: the total sum of money received during the previous week

 

You can download this list to PDF and/or Excel by clicking the Export to PDF or Export to Excel buttons. This will export the full list. If you want to download a filtered list, either use the date range option mentioned above OR export to excel and sort or filter through there.

MiBaseNZ has created a more secure and better encrypted password procedure for all administrators and volunteers using the MiBaseNZ system ensuring better protection and security of all private information and sensitive data we have stored on ourselves and our members.

There are some minor changes to the admin login page. The Home button has been removed and a Forgot Password? button has been added.

For this to take effect, all admin and volunteers must follow these very simple steps.

Note: new member logins and password procedures will go live by mid-2022.

 

Step 1:

Go to the admin login page and login in as per normal with the password you have. The following Password expired! message will appear.

Step2:

Insert the email address that you used to register as an admin or what you have saved as part of your admin details.
Click Email my new password.

Step 3:

A Success! message will appear stating your username and (new) password has been emailed to you.
Click Go to login.

Step 4:

Check your email, you should have received an email similar to the one below.

Moving forward this is your new password however if you would like to change it after you log in using this password, go to Setup -> Add admin and edit your password there. The following article will give you further information, Edit an Administrator.
Even if you are familiar with the process, please read the article again as there are some important points for you to read around usernames, passwords, and emails and ensuring they are unique. In other words, no admin or volunteer can have the same username, password and most importantly email.

These functions have been created in light of the latest Covid-19 lockdown.
It allows you, the admin, to extend the due date of all the toys currently on loan, active reservation dates, and membership expiry dates for both active and expired members by a selected number of days without having to manually change the dates for each individual toy/member.

Depending on where your toy library is in NZ and when you will re-open will determine the number of days you would like to add.

Note: With toys on loan and reservations, this function does not allow you to select a certain date so all toys are due on the same day and all reservations can be picked up on the same day. It will just add the number of days your library is closed for to the dates. So if your toys have different due dates and reservation dates they will continue to have different due dates and reservation dates.

To add the days go to Setup -> 1 click function

You will see in the second column the heading Additional days for… Type in the number of days you would like to add to each field clicking the Add days button before moving to the next function.

A Success box relevant to each function will appear stating all dates have now been updated.

MiBaseNZ provides additional Premium Modules for toy libraries with specific requirements. On this Paid Modules page you will see a list of the modules that your toy library can purchase. The cost is a one-off payment with nothing added to the hosting cost.

For each module, there is a short description and a link to further information.
If the link says More info, it will take you to a page outlining what the module can offer your toy library and its specific features. This also means the module is not available just yet.
If the link says Documentation, it will take you to the articles explaining how to use the module. This also means this module is available to toy libraries.

 

Party Pack / Jumpy Castle

This module will allow toy libraries to hire specific toys from specific categories to non-members, or clients. Once the module is set up, the toy library can choose which toys and categories a client can hire.

This module is available now.

 

Click and Collect

This module allows the admin and members of a toy library to be able to book a time and date to pick up and/or drop off toys that have been reserved.

This module is available now.

 

Booking System

This module allows admin, members and the public to be able to book a time to visit your toy library. This module is not linked with the Reservation System so toys do not need to be reserved to use it.
Note: if you have the Click and Collect module, you will not need this module. 

It will be available by Easter 2022.

 

Company as a Member

This module will allow toy libraries to add a company such as childcare or a school to their list of members. This module will have its own page and Company List separate from your toy library’s Member List.

This module is available now.

 

Committee

This module will help toy libraries manage their volunteer work in an easy and fast way. There are two sections to this module. The yellow section is free for all toy libraries. The orange section is the premium paid module – timesheets for the committee, an events and meetings planner, and an upgraded Home page.

This module is available now.

 

Gift Voucher

This module will provide toy libraries with the ability to create their own gift voucher by choosing from a selection of designs and deciding what information they would like to appear on the voucher.

It will be available by mid-2022.

 

Grant

This module will allow you to list all the grants your toy library has applied for, grants your toy library has been successful with as well as provide a clear and easy to understand calendar to add any future grants and their closing applications dates.

It will be available by mid-2022.

No toy library and how it operates is the same. For this reason, MiBaseNZ has given toy libraries the ability to create and save their own email template.
This email template can only be used and sent from Bulk Emails. It cannot be set up and sent as an Automatic Email.

The first important step is to create your email template.

Go to Setup -> Email Template and click the Add New button at the top right of the page.

The following page will then appear.

Then add your information.

  • Template Name: must be simple and short with no spacing.
    If you want to add two or three words to the name, you must use an underscore _ instead of a space.
    For example, renew_mem_family
  • Subject: heading for the email
  • Message: add whatever content you would like the email to be about

Click Save.
A Success message will appear underneath the Save button.

Clicking OK will take you back to the Email Templates page where your email template will appear in the list.

At this point, Bulk Email templates can not be deleted. This option will be available by October 2022. If you would like to delete a template you have created and no longer would like, please Open a ticket.

Test Email

It will also appear in the Email Template dropdown menu under Bulk Emails.

MiBaseNZ has created the Activity Log page so you can see all the activities occurring in your system as well as seeing where any errors are coming from.

If multiple users log in to the system, then keeping an activity log will help you monitor all user activity. This means that all activities happening in your admin website by your admin and volunteers, all activities that your members will do in the Member Website and even the systems server activities will be recorded.

When an admin, or a volunteer or a member changes any data or deletes or adds any information, the log system will record these changes adding a separate row for each activity.

As you can imagine, a lot of data will be recorded on this page so if you have a need to see any activity for a particular day/week/month you can do a search by date range.

To view this page, go to Setup -> Activity Log

An example of a list of activities can be seen in the table below. Beneath that is a description of the table.

The most recent activities will be listed first.

Column Description

  • id: the number to identify/record the activity
  • username: the person who has created the activity. For members, it will list their member ID number and sometimes the username. If it is the system when sending automatic emails, for example, the username will be Server
  • Role: the role of the person creating the activity; admin, volunteer, member or root if it is the system/server
  • Date: the date the activity occurred
  • Time: the time the activity occurred
  • Category: the type of activity that occurred
  • Activity: a more detailed description of the category/activity

As mentioned before, this list will be quite extensive so you can choose how many rows are displayed in the table by using the pagination at the bottom of the page and selecting from the dropdown menu.

If you wish to view activities in a given period, select the Start Day and End Day from the dropdown calendars, and click Search. This is found in the grey box at the top of the page. Click Reset to refresh the page to see the current activities again.

You can also sort/filter this list by the headings listed. Click the arrows next to the heading you want to sort/filter the list by or type in the search boxes underneath the headings.

You can download this list to PDF and/or Excel by clicking the Export to PDF or Export to Excel buttons. This will export the full list. If you want to download a filtered list, either use the date range option mentioned above OR export to excel and sort or filter through there.

MiBaseNZ provides a rather extensive list of email templates that your library can use to send to your members. MiBaseNZ has provided a general outline for each email template as well as including some general and some specific shortcodes.

Your library can change these templates however you like. All you need to do is select the email template, click Edit, make the changes, and click Save.

You also have the option of creating your very own email template however they can only be used in bulk emails.

To create your own email template simply click the blue Add New button to the top right of the page (see image below). Follow this link to learn how to Create your own template.

List of email’s templates

As you can see there is quite a selection of emails to choose from. These email templates can be filtered into different delivery types (see outlined in the below image) which means their functions differ in how they are sent to members.

There are 4 different delivery types, they are:

  • Auto: this stands for Automatic Emails which are emails, when set up correctly, are sent automatically
  • Bulk Email: these are specific emails which can be sent to all or just a few of your active members by the Bulk email functionality
  • Process: these emails, if activated, are sent to members after a function has been used
  • Button: these emails are linked to a button within MiBaseNZ and when clicked will send the email, like email and loan receipts

To view, check and change each of the above groups of email templates, follow the links below.

  • New Member – Welcome email for new members
  • Login – member’s login details
  • Member Update – email asking for members to update their details
  • Missing – email for members who were missing pieces from their toy returns that day
  • Bulk Email – generic template you can change to your liking
  • Renew Membership – like the welcome email but for members renewing their membership
  • Newsletter – template you can use specifically for your library’s newsletters
  • Member Transaction – email to send three months worth or the full list of a member’s transactions
  • New Password – email sent to admin and volunteers when they reset their password

Process

Button

  • Email Receipt: this button allows you to email a receipt of a member’s toy loans
  • Loan Receipt: this button allows you to print a receipt of a member’s toy loans
  • Payments Email: this button allows you to email or print a receipt of a member’s payment list

MiBaseNZ has created this 1-click function page to provide admin with a fast and efficient way to export data or make changes to the database and all it takes is just one click of a button.

As you can see from the image below, there are two columns of functions. 1 click functions

Export Directly from Database

Simply choose the data you would like to export from the database. Each button exports different data which is explained in the description.

  • Active Toys to Excel
  • Not Active Toys to Excel
  • Members to Excel: active members also includes expired members
  • Rosters to Excel

Different Function with 1 Click

These functions are applied directly to the database.

  • Reservable all toys
  • Not reservable all toys

As the description says, with these buttons you can either make all toys available to be reserved or not.
Note: this applies to both admin and members. So if you have selected toys not available to be reserved as you don’t want members to reserve them, admin cannot reserve them either.
If there are only some toys you would like to be able to reserve or some toys you don’t want available for reservation, you will need to go to the individual toy’s edit page and select or deselect the box ‘This Toy can be reserved’.

 

Additional Days For…

This function is great if you would like to extend the due date of all the toys currently on loan, active reservation dates, and membership expiry dates for both active and expired members for a certain number of days without having to manually change the dates for each individual toy/member.
